1. JOB TITLE: Administrative Assistant

Location: Dar es salaam, Tanzania

Overall: 
Responsible for providing functional support to business at all times and ensuring smooth running of administrative and operational matters of the business 

Key Duties:
▪︎ Receive and respond to all the incoming calls and maintain detailed records of all the issues, especially those not addressed satisfactorily
▪︎ Attend to all incoming clients and refer them on who should assist
▪︎ Assist in ensuring that necessary regulatory business licenses are valid at all times
▪︎ Coordinate day-to-day office administrative issues; office cleanliness, equipment functions for efficiency
▪︎ Receive, stamp and distribute mail within the office for further action
▪︎ Manage general office stationery re-order levels and request for office equipment’s when need arises
▪︎ Maintain reception cleanliness and tidiness
▪︎ Assist in compiling monthly /quarterly reports
▪︎ Assist in entering motor stickers into TIRA MIS system
▪︎ Perform other duties as instructed by Management

Minimum Requirements
▪︎ Bachelor’s degree holder in any field
▪︎ 2 Years’ experience in office administrative work

2. JOB TITLE: Executive Assistant

REF: 1553/KENY/GT/Executive Assistant/Tanzania/290620 
Location: Dar es salaam, Tanzania
Deadline: 15th July 2020

Overall:
To provide administrative support to the Executive department and ensure good customer care service to visitors to the department for efficient running of the department. 
 
Key Duties:
▪︎ PA to the CEO and ensures in the absence of the CEO that urgent issues attended.
▪︎ Carry out the administration work of the Executive Department and ensure cleanliness in the department
▪︎ Updates the CEO’s diary to ensure that schedules are met and meetings attended in time
▪︎ Organize and take minutes during the Board meetings.
▪︎ Follow up of the Board resolutions made during the board meetings and ensure that they are implemented in a timely manner.
▪︎ Organize, facilitate and coordinate the Board Subcommittee meetings to ensure they take place before the full Board meetings.
▪︎ Provide support to the CEO on key assignments and public relations engagements with support from internal Communications.
▪︎ Compile monthly, biannual reports and Company updates for the CEO’s review to the Board within the stipulated timelines
▪︎ Organize travel for staff in the department and negotiate with service providers on the costs to ensure that expenditure is within budget
▪︎ Maintain proper filing system for all records and correspondence for the department
▪︎ Liaise with suppliers to ensure that staff trips, accommodation, and airlines and negotiate corporate and discounted rates.
▪︎ Organize and coordinate CEO’s, Management, and Board meetings
▪︎ Coordinate the drivers and ensure vehicles are well maintained
▪︎ Maintain general cleanliness in the office ensuring that ventilation, lighting and safety procedures are adhered to.
▪︎ Deliver all Local Purchase orders on time
▪︎ Performs any other duties as prescribed by the Management.

The incumbent will be responsible for:- proactive response to identified business opportunities, providing leadership and direction to the business development and marketing team, leading business acquisition and retention initiatives to ensure achievement of set top-line and profitability targets, driving brand building activities aimed at making UAP Insurance as a world class insurer, readily recognized within Tanzania and the East African region 

Key Duties:
▪︎ Develop and implement a marketing strategy for UAP that is able to foster the achievement of set business goals in respect to top line, profitability, market share, client recruitment etc
▪︎ Develop and implement the advertising, promotion and public relations campaigns to help build UAP’S brand name and image in the market place
▪︎ Grow premium income in line with the business plan and ROE expectations
▪︎ Drive growth, product and sales training among all distribution channels so as to ensure maximum client reach and profitability of the relevant channels at appropriate cost levels including: Direct sales Brokers Agents Banc assurance Digital & Alternative
▪︎ Drive market research that is aimed at identifying new business potential and participate in the development of new products to fill special market niches
▪︎ Set customer care/service standards for the company and monitor to ensure that these are met 

Key Results 
▪︎ Develop and implement a marketing strategy for UAP that is able to foster theachievement of set business goals in respect to top line, profitability, marketshare, client recruitment etc

▪︎ Ensure that subordinates submit accurate, quality and timely  business reports and use these to compiledepartmental reports for review by senior management and the Board

▪︎ Monitor competitor activity and advise the senior management team onopportunities/threats that are presented by such activities 

Minimum Requirements
▪︎ Business related degree Professional qualification (ACII)
▪︎ 5 years’ experience within the Insurance Industry, 3 of which must have been at Senior Leadership
